New Application Eases the Task of Managing Paper and Electronic Documents
SAN DIEGO, Calif.–February 15, 2007–GGT Enterprises, LLC announced today the release of DocumentWallet, a document management application for Mac OS X that gives users the ability to easily scan, manage and archive documents. DocumentWallet leverages many of the great features found in the company’s ReceiptWallet product, including smart collections, seamless scanner integration and archiving to CD or DVD, to simplify the tedious process of cataloging and searching for documents.
Designed for individuals and organizations that want to get better control over their paper and electronic documents, DocumentWallet organizes documents of all kinds, similarly to the way Apple’s iPhoto application organizes photographs. Its familiar interface elements make it instantly usable, and its many features provide the breadth and flexibility that Mac users demand.
“As we collect more and more documents, both printed and electronic, it becomes increasingly difficult to stay on top of it all,” said Scott Gruby, GGT Enterprises’ founder and manager. “DocumentWallet has brought me closer to realizing a paperless office, and I know that it will quickly and easily do the same for Mac users everywhere.”
Getting started with DocumentWallet easy. Paper documents, even those spanning multiple pages, are imported directly from any TWAIN-compatible scanner at the push of a button. Combined with a fast scanner, like Fujitsu’s ScanSnap models, DocumentWallet whisks paper documents into electronic form for easy storage and retrieval. Electronic documents, including Web-based documents converted to PDFs, are imported by dragging them onto the DocumentWallet window.
Once imported, values for document title, date, category and other fields are entered and stored with the document. DocumentWallet keeps track of entries for fields like title and category and saves time by auto-completing entries when the user has typed the first few letters. Custom, user-defined fields provide flexibility, and there’s even room to enter notes for each document. Documents are stored as PDFs, keeping storage requirements to a minimum and image quality high.
Individual documents can be selected from their thumbnail icon or from sortable list views and placed into collections that provide logical organization. For example, one collection could include only product manuals, while another could include copies of official documents such as passports. DocumentWallet takes this capability one step further with the inclusion of smart collections, which automatically group documents based on various criteria, including title, date, category or any custom field. A smart collection could include all documents that contain the words “computer” or “electronic” in the notes field, and new documents then appear in the smart collection automatically as they are imported.
DocumentWallet leverages several Apple technologies in Mac OS X 10.4 “Tiger” to provide the best user experience possible. Spotlight indexing provides content-based searching, allowing specific documents to be located quickly, with just a few keystrokes. DocumentWallet can also archive receipts to CD or DVD with Apple’s Disc Burning functionality, allowing documents to be stored offline, but instantly viewable in the library when the CD or DVD containing them is inserted. And thanks to AppleScript support, users can attach documents to emails at the click of a button or even create scripts to further automate and customize document importing.
